Deferring Studies

If you have deferred your studies, please contact the Amber team and share your updated university documentation. We will notify the property team to review your request for cancellation/contract amendment. Requests are assessed individually, and the final outcome will be subject to the property's review and booking terms.

Cooling Off Period

There is no standard cooling-off period applicable to all bookings. Cancellations made shortly after acceptance may sometimes be considered for a full refund, depending on the circumstances, the landlord's policy, and the reason for cancellation. Such cases are assessed on a case-by-case basis.

No Visa No Pay

The service fee is generally non-refundable if a tenant cancels because a visa is not issued. The rental amount is refunded according to the applicable cancellation terms and conditions of the specific listing.

University Course Cancellation/Modification

If a student's university course is cancelled or modified, the possibility of cancelling the booking or obtaining a refund depends on the cancellation terms of the specific listing and the circumstances of the case. Individual cases may be assessed where circumstances change.

Early termination by students

Early termination depends on the individual landlord's policy and the rental contract. In Germany, a three-month notice period is generally applicable; however, the specific rental agreement may provide different terms. The service fee is non-refundable in all cases. The applicable cancellation and termination conditions need to be checked with the team.

Delayed Arrivals & travel restrictions

Delayed arrival is generally possible, but practical arrangements depend on the individual property and landlord. If the property uses a key box or another self-check-in solution, the tenant may be able to arrive outside standard hours. If the landlord needs to meet the tenant personally for key handover, the arrival time needs to be coordinated with the landlord's availability. Unforeseen delays need to be handled according to the specific check-in arrangements of each property.

Other cancellation policies

The rental amount is refunded according to the applicable cancellation terms and conditions of the specific listing. The service fee is generally non-refundable when a tenant cancels a booking due to a change in personal circumstances.

Check in guide

Approximately 2–4 weeks prior to the scheduled move-in date, students will receive check-in instructions via email. This communication will include the steps required to select a check-in date and time slot, complete necessary documentation, and settle any outstanding payments prior to arrival.In case of any questions or queries, please feel free to contact the Amber team, and our team will assist to ensure a smooth check-in process.

Renewal policy

Students who wish to extend their stay can contact the Amber team for renewal or rebooking at the same accommodation. Our team will support the renewal process and help students secure a suitable room of their choice. Students are encouraged to reach out early to ensure they can rebook the same room or another room of their choice at the same property.

Early check in policy

Early check-in requests can be shared in advance with the Amber team. Our team will do a feasibility check to facilitate early check-in requests based on room readiness and availability. Additional charges may apply where applicable.

Payment and Fees

Booking Deposit

The first monthly payment is required in advance. The advance rent is considered the booking deposit.

Security Deposit

The deposit amount varies by property. The deposit is returned at the end of the contract if there is no damage to the property.

Pay In Instalment

Rent is paid monthly. A designated payment date is decided by the landlord, and the rent must be paid on or before that date.

Who will I share the property with?

None in the case of renting out an internal flat. In the case of renting out a room: unfortunately, due to GDPR requirements they are unable to share specific information about the other tenants in the property. In order to get a better idea of the other tenants in the property, they recommend that you consult their customer care team who will be able to provide you with general information on the tenants present: "e.g. mixed gender students aged between 20 and 27 years".

What are the booking costs?

Property charges a service fee which is proportional to the cost of the fee for the number of months booked. In addition to the booking costs, you can add specific costs for the registration of the contract, cleaning and sanitation. You can check for these additional costs in the ad description.

Do I have to pay a deposit?

When booking, the amounts to be paid are: one month's rent (which will be paid into the properties' landlord 48h after check in) + property commission. Once this amount is paid, the property will be reserved.

What is the monthly cost of utilities?

This information can be found in the Prices and availability section of each listing. For some listings utilities are included in the rental price for others they are excluded. For some properties utilities are included but up to a maximum monthly cap, this information will be present in the listing description or can be requested from their customer service team (e.g. utilities included up to a maximum of €150/month).

What if there is any Changes to my dates?

If during your tenancy you need to change your plans and move out early or extend your tenancy, they will be here to help you, simply contact their customer care team. Please note that property is not part of the tenancy agreement with your landlord, so you will need to inform both property and your landlord of your decision. Some rental agreements have early departure clauses, so they recommend that you check these in advance of your application. If you wish to stay in the property after your rental agreement has expired, you will need to enter a new booking request online, as this will be considered as a new rental. They recommend that you do this quickly to avoid losing your rental property.

What are the house rules?

Each property listing includes a set of house rules that are non-negotiable and set by the landlord. - Smoking Allowed: Indicates whether or not smoking is permitted on the property. It is highly recommended that you follow this rule, otherwise you risk losing the security deposit. - Pets Allowed: This will indicate if the landlord will allow pets to enter the property, it is recommended that you add information about your pet in the notes to your booking request so that the landlord is informed in advance. - Overnight Guests: Most owners do not allow guests to stay in shared properties, so please check if this is allowed or if the landlord will charge a supplement. - Couples allowed: Room owners do not allow couples inside the room.

Is there any extra booking costs which needs to be paid?

As they work with both property managers and private owners, you may find administration fees in some listings. These are fees that are charged by property managers to cover administrative costs, including, but not limited to, contract registration, inventory checks, reference checks, cleaning and sanitation costs.
