Replacement Tenant Accepted

Students may request permission to find a replacement licensee if they wish to be released from their licence agreement. It is the student's responsibility to find a suitable replacement. A replacement tenant request will only be considered if at least 12 weeks remain on the licence agreement. The property has sole discretion to approve or reject the proposed replacement. University Course Cancellation/Modification

If your course has been cancelled by your university, please reach out to the Amber team with the relevant supporting documentation. We will liaise with the property team to review your request on a case-by-case basis for cancellation. The resolution will be subject to the property's assessment and the terms of your booking.

Deferring Studies

If you have deferred your studies, please contact the Amber team and share your updated university documentation. We will notify the property team to review your request for cancellation/contract amendment. Requests are assessed individually, and the final outcome will be subject to the property's review and booking terms.

Security Deposit

Security Deposit Amount: £250. The Deposit may initially be used to hold the room or freeze the accommodation price. If the student fails to complete the booking process on time, the Deposit may become non-refundable. Once the Confirmation of Enrolment Letter is issued, the Deposit is converted into a Security Deposit. Refund processed within 6–8 weeks after the property receives the completed Deposit Refund Form and required documentation.

Pay In Instalment

Students may pay their accommodation fees in installments. A maximum of 6 instalments is available. The available installment plan depends on the length of the booking. Students should confirm the available instalment option with their sales agent. Failure to pay any instalment on time may result in: Immediate withdrawal of the instalment plan. The entire outstanding accommodation fee becomes immediately due and payable.

Mode Of Payment

Payments can be made using: Debit Card. Credit Card. Bank Transfer. Note: Students are responsible for all bank charges associated with payments and refunds, including intermediary bank charges.

Guarantor Requirement

A UK guarantor is not required to book accommodation. International students can secure their booking by paying the Security Deposit and the First Instalment. Students should confirm the applicable payment terms for their chosen residence with their team. If a guarantor is provided, they will be jointly and severally liable for the student's obligations under the licence agreement.

Additional Fees

Room Change Fee: £100 (exclusive of VAT), plus any applicable room price difference. Late Check-out Charge: £50 per hour, unless a different amount is specified in the Booking Details or Residence Rules. Dual Occupancy Fee: Dual occupancy is available for an additional £50 per week. This fee covers the additional use of utilities, amenities, and services by the second occupant.

Can they have guests over?

Yes. Guests are permitted provided the resident accompanies them at all times. Overnight guests must:

Are there any extra charges while staying at the residence?

No. Utility bills and access to residence facilities are included. Laundry services may incur an additional charge.

Yes. A booking can be made before receiving a university acceptance letter. The acceptance letter must be provided before check-in.

When and how is the deposit refunded?

After checkout, the operations team inspects the room for damages. If the room is in good condition, the finance team sends a refund form. Subject to the terms and conditions, refunds are usually processed within 4–6 weeks after checkout.

Who should they contact if something needs to be fixed?

Residents should contact the operations team using the contact details provided before check-in.

How can additional services be booked?

Additional services, such as cleaning, linen and bedding packs, and student travel insurance, can be purchased through the student portal.

What happens if belongings are left behind after checkout?

Residents should remove all belongings before checkout. Items left behind may be temporarily stored or disposed of at the resident's risk. If storage is available, a weekly storage fee may apply.

Can they extend their stay?

Yes. Residents can contact their sales agent to request an extension. Approval is subject to availability.

Can they change their room or residence after moving in?

Yes. Room or residence changes may be possible depending on availability. Additional charges may apply.

Will the deposit be refunded if there is damage to the room?

If damage is found during inspection, the deposit may be partially refunded or withheld depending on the extent of the damage. Appropriate deductions will be made.

When do they need to vacate the room?

Residents must check out by 10:00 AM on the final day of their stay.

What happens after the first instalment has been paid?

Once the deposit, first instalment, and bedding or service fee have been paid within seven days of receiving the quotation, a Confirmation of Enrolment letter is issued to confirm the booking.
