Cancellation Policies

No Visa No Pay

If the student is denied a visa to enter Spain, the guarantee deposit will be refunded, provided that a supporting document is submitted within one week of being notified of the refusal and before the contract start date. The refund request must be communicated in writing by email to the residence hall. The reservation payment/deposit is also refundable in case of visa refusal, provided that the contract start date has not been exceeded.

No Place No Pay

If the residence hall cannot assign the requested place due to a lack of available rooms, the guarantee deposit will be refunded. If the student is not admitted to the University or Study Centre applied for, the guarantee deposit will be refunded, provided that a copy of the official non-admission letter/proof is submitted within one week of its issuance. Early termination by students

The guarantee deposit will be refunded if the student leaves the University for a justified reason and according to the accommodation contract. The guarantee deposit will not be refunded if the student voluntarily leaves before the end of the contract without justification. The guarantee deposit will not be refunded if the student voluntarily gives up the place awarded by the residence hall at any time after payment of the deposit and/or acceptance of the contract.

Delayed Arrivals & travel restrictions

If you are unable to travel due to government-imposed travel restrictions, please contact the Amber team with the relevant supporting documentation. We will facilitate the request to review your circumstances and explore the possibility of cancellation/contract amendment. Requests are considered individually, and any outcome will depend on the property's review and applicable booking terms.

University Course Cancellation/Modification

If your course has been cancelled by your university, please reach out to the Amber team with the relevant supporting documentation. We will liaise with the property team to review your request on a case-by-case basis for cancellation. The resolution will be subject to the property's assessment and the terms of your booking.

Deferring Studies

If you have deferred your studies, please contact the Amber team and share your updated university documentation. We will notify the property team to review your request for cancellation/contract amendment. Requests are assessed individually, and the final outcome will be subject to the property's review and booking terms.

Extenuating Circumstances

The guarantee deposit may be refunded if the student leaves the University for a justified reason, according to the conditions established in the accommodation contract.

Other cancellation policies

If the student fails the Baccalaureate or EvAU in the ordinary June examination or the extraordinary July/September examination, the guarantee deposit will be refunded, provided that the official document showing “NOT PASSED” is submitted by email within one week of its issuance. Booking Deposit

An application fee is required as a reservation fee during the online booking process. The application fee is non-refundable except in the cancellation and refund cases specified in the accommodation contract and the booking conditions. A further payment, referred to as the guarantee deposit/security deposit, must be made before the accommodation contract is signed. The deposit amount varies depending on the length of the stay. The deposit is used to cover possible repair costs for damage to facilities/materials attributable to the resident and to guarantee compliance with the resident’s obligations.

Security Deposit

The guarantee/security deposit amount varies depending on the length of the stay. The deposit may be used to cover repair costs caused by damage attributable to the resident and other obligations of the resident. Any applicable expenses will be deducted from the deposit before refund. The remaining deposit will be returned within the deadlines specified in the accommodation contract. The deposit is refundable in specified circumstances, including non-admission to the University/Study Centre, failure of the Baccalaureate/EvAU, visa refusal, lack of available rooms, justified departure from the University, and expiry of the accommodation contract subject to the stated conditions.

Pay In Instalment

Single payment: The entire stay is paid in one payment. Monthly payment: Payments are made monthly, with a receipt issued during the first 5 days of each month. The single-payment option is valid only for full-course stays. A 3% discount on the total stay amount applies to the single-payment option. For single payment, the receipt is issued during the first 5 days of the month in which the contract starts.

Mode Of Payment

Payments must be made by direct debit from an account in the SEPA Zone. If the student does not have a SEPA-zone bank account, payment can be made by credit card. Alternatively, a non-SEPA bank account can be provided, but the student is responsible for the applicable bank charges. The application fee can be paid through the online payment gateway or, where unavailable, by bank transfer.

Guarantor Requirement

A second signatory is required for the accommodation contract if the student is of legal age at the time of booking. If the student is a minor, the father, mother, or legal guardian must accept and sign the booking and contracting process and act as the payer and second signatory. The guarantor or legal guardian receives an email notification to complete and sign the accommodation contract.

Additional Fees

A minimum departure cleaning charge of €60 applies and will be deducted from the security deposit at the end of the accommodation contract. The final departure cleaning charge may be higher depending on the condition of the room.

Who can live in their residences?

The property offers accommodation for students of all genders and nationalities enrolled in any higher education course in Spain and Portugal and for the entire academic community (professors, researchers, and PAS-PDI).

What if I don't like my room?

You can request a room change from the residence hall director, who will do their best to find a room that suits your needs. However, please note that room prices may vary depending on their size, location in the building, availability, and length of stay.

What other charges can I expect?

The only things you’re expected to pay extra for are laundry facilities (via an app), electricity bills above the kWh included in your monthly rent, vending machine purchases, and any additional services not included in your rent.

What time can I check in and what time do I have to check out?

Check-out is by 12 noon on the day you leave your room. Check-in is normally from 10 a.m. to 4 p.m. However, during busy periods, the residence director and staff will arrange a date and time with you so you can check in without any problems.

Can I enter the room early?

Yes, if the room is available. An additional fee will be charged for each extra day. Please contact the residence staff if you wish to check in early. You can also extend your initial contracted period by following the same procedure.

Are there any events organized for residents?

Many events and activities are organized throughout the year so residents can meet each other and make new friends, all of which are voluntary.

Is there a pick-up service from the airport or train station?

There are taxi ranks and ride-hailing services in all the cities, but they'd be happy to arrange a pick-up at the airport or train station. Just tell them your name, arrival date and time, flight/train number, and the number of bags/packages so they can order a taxi to pick you up. Make sure you bring a card or cash to pay for the taxi (in euros). Many well-known ride-hailing companies have their own apps. You might want to compare fares and download one of these apps to order your ride and avoid paying in cash.

Can I stay in the summer?

Their residence halls are open year-round. They offer accommodation throughout the summer for any type of stay, whether long or short. Please check with the residence hall staff about room availability during the summer and if there are any offers allowing you to stay for the full twelve months, whether you renew your membership for the following academic year or not.

Is there staff available all the time?

Yes, there are team members willing to help all the time.

Will I have internet in my room?

Yes, of course, it’s also included in the rental. You’ll have 100mbps Wi-Fi with five devices.

Will I have a TV in my room?

The rooms do not have a television or antenna. You can watch television over the internet on any enabled device you bring. Remember that televisions are always available in many of the residence’s common areas.

What happens if there is a maintenance incident in my room?

The residence hall team will assist you with any maintenance tasks that may need to be performed in your room. Please contact reception to let them know if there is a problem with your room.

Is there laundry facilities?

Yes, there is a laundry room with a large number of washing machines and dryers that you can use 24 hours a day.

Is smoking allowed in the room?

No, smoking is strictly prohibited inside the facilities, except in specifically designated areas outside.

How can I pick up my mail or packages?

Lockers are available in some residences, and in the rest, you can pick up your package at the reception. Remember to check the pickup times at each residence. Also, keep in mind that any food and/or grocery orders must be delivered directly to the resident.

Can I have guests?

You can have visitors; they’ll simply need to check in and out at reception. However, if your visitor needs to stay overnight, you’ll need to discuss this with a member of the residence team beforehand and make a reservation, whether they’re staying in your room or need an additional room. Remember that residents have special rates for these types of visits.

Which rooms are for two people?

Their residences offer double rooms and studios, with several types for two people. If you choose this room type and don’t know your roommate, they’ll assign you one that best suits your location, residence, and type of study.
