Cancellation Policies

Cooling Off Period

Students may cancel by providing written notice within 24 hours of signing the Sub-License Agreement. A full refund of the deposit and Advance Licence Fee will be issued. No replacement tenant is required. This will be waived for all bookings made after 31 July 2026.

No Visa No Pay

Students may request cancellation if their visa application is rejected. Written notification must be provided within 24 hours of receiving the visa rejection decision. The notification must be received on or before 15 August. Valid documentary proof of the visa rejection must be submitted. The property may, at its sole discretion, refund both the deposit and the advance license fee in full. All refund decisions are final and binding.

Early termination by students

Allowed after check-in with 60-day written notice. Rent continues during the notice period. Replacement tenant required to avoid extended liability. If property management assists, a €750 tenant finder's fee applies.

Replacement Tenant Accepted

All replacement tenants must be vetted and approved by the property. The replacement tenant must sign the license agreement, pay the required deposit and advance license fee, and complete check-in before the original booking is cancelled. Upon successful replacement before check-in, the advance license fee will be refunded and the deposit will be forfeited as a cancellation fee. Upon successful replacement after check-in, any overpaid license fee will be refunded after adjustment for da

Extenuating Circumstances

Cancellation due to exceptional circumstances may be considered after signing the Sub-License Agreement. Documentary proof is required. Approval is at the property's discretion.

Students may request cancellation under the No CAS No Pay policy, subject to the property's applicable conditions.

Delayed Arrivals & travel restrictions

If you are unable to travel due to government-imposed travel restrictions, please contact the Amber team with the relevant supporting documentation. We will facilitate the request to review your circumstances and explore the possibility of cancellation/contract amendment. Requests are considered individually, and any outcome will depend on the property's review and applicable booking terms.

University Course Cancellation/Modification

If your course has been cancelled by your university, please reach out to the Amber team with the relevant supporting documentation. We will liaise with the property team to review your request on a case-by-case basis for cancellation. The resolution will be subject to the property's assessment and the terms of your booking.

Deferring Studies

If you have deferred your studies, please contact the Amber team and share your updated university documentation. We will notify the property team to review your request for cancellation/contract amendment. Requests are assessed individually, and the final outcome will be subject to the property's review and booking terms.

Room allocation

Students can indicate specific room number or location preferences during the booking process, and the Amber team will accommodate these preferences wherever possible, based on availability.

Check in guide

Approximately 2–4 weeks prior to the scheduled move-in date, students will receive check-in instructions via email. This communication will include the steps required to select a check-in date and time slot, complete necessary documentation, and settle any outstanding payments prior to arrival.In case of any questions or queries, please feel free to contact the Amber team, and our team will assist to ensure a smooth check-in process.

Renewal policy

Students who wish to extend their stay can contact the Amber team for renewal or rebooking at the same accommodation. Our team will support the renewal process and help students secure a suitable room of their choice. Students are encouraged to reach out early to ensure they can rebook the same room or another room of their choice at the same property.

Early check in policy

Early check-in requests can be shared in advance with the Amber team. Our team will do a feasibility check to facilitate early check-in requests based on room readiness and availability. Additional charges may apply where applicable.

Payment and Fees

Booking Deposit

The first and last month's rent are payable as the Advance Licence Fee.  The Advance Licence Fee must be paid within 48 hours of signing the agreement. The Deposit becomes non-refundable after signing the Sub-License Agreement unless cancellation is permitted under the applicable cancellation policies. Refunds are initiated within 14 working days of cancellation.

Pay In Instalment

Monthly instalments are available. Note - Students must pay the required Advance Licence Fee before moving in.

Guarantor Requirement

International and local guarantors accepted, subject to the student's booking profile and property’s requirements. The guarantor is preferably a parent. Under-18 students must have a valid national guarantor.

Additional Fees

Utility charges are not included in the rent by default. Students may choose to include utility charges by paying an additional EUR 50 per bedspace.

Security Deposit

One month's rent is payable as the Security Deposit. The Deposit becomes non-refundable after signing the Sub-License Agreement unless cancellation is permitted under the applicable cancellation policies. Refunds are initiated within 14 working days of cancellation. Forfeited as a cancellation fee where applicable under the cancellation policy
