Cancellation Policies

No Visa No Pay

Applies to international students whose visa for the stay period has been denied by the competent authority. Provide official proof of the visa refusal. The property will refund the amounts paid, excluding any applicable administrative fees or non-refundable amounts.

No Place No Pay

Applies if the resident has not been admitted to the intended university/educational institution and does not have a place at any other institution in the same destination city, before 1 August 2026. Official documentation proving the rejection or lack of admission must be provided. The property will refund the amounts paid, except for a €50 administrative fee or any non-refundable amounts specified during booking.

University Course Cancellation/Modification

If your course has been cancelled by your university, please reach out to the Amber team with the relevant supporting documentation. We will liaise with the property team to review your request on a case-by-case basis for cancellation. The resolution will be subject to the property's assessment and the terms of your booking.

Early termination by students

Applies once the stay has started. Voluntary early termination: the resident may terminate by paying compensation equivalent to two months' rent for the room occupied. In all early termination cases: the resident must pay in full the monthly rent for the month in which they leave, and the security deposit is not refunded.

Delayed Arrivals & travel restrictions

If you are unable to travel due to government-imposed travel restrictions, please contact the Amber team with the relevant supporting documentation. We will facilitate the request to review your circumstances and explore the possibility of cancellation/contract amendment. Requests are considered individually, and any outcome will depend on the property's review and applicable booking terms.

Replacement Tenant Accepted

Before check-in: the resident may cancel by proposing a replacement who assumes the booking under the same financial conditions, duration, and accommodation type through to the agreed end date. The replacement must not currently hold an active contract with the property and must not have previously contacted the property prior to the resident's voluntary termination request. Deferring Studies

If you have deferred your studies, please contact the Amber team and share your updated university documentation. We will notify the property team to review your request for cancellation/contract amendment. Requests are assessed individually, and the final outcome will be subject to the property's review and booking terms.

Other cancellation policies

Communication of cancellations: Requests must be sent in writing to the residence's email address (as indicated in the booking confirmation or accommodation agreement) and include the booking number, full name, check-in date, reason for cancellation, and supporting documentation where applicable. Payment and Fees

Security Deposit

A €200 security deposit is required for all properties. The deposit is held throughout the stay and returned at the end of the academic year, provided the room is left in the same condition.

Pay In Instalment

Two options: Full Payment or Monthly Payment. Paying for the whole stay at once qualifies for a 3% discount. Monthly payments are made via direct debit. Monthly payment is due on the 1st of every month.

Credit card (used for the initial booking payment). Debit card. SEPA direct debit for monthly rent.

Guarantor Requirement

No guarantor is required.

Additional Fees

An admin fee of €50 applies only if a booking is cancelled under the visa or university-place guarantee. Half board and full board meal plans are optional but must be kept for the full stay if selected; pricing varies by residence, ranging from €250–270/month for half board and €329–360/month for full board. Some residences include catering 7 days a week, including Saturday brunch and Sunday dinner. Key replacement fee: €10.

Yes, you must present proof that you are part of the educational community. Minors require a legal guardian to sign the contract.

What happens if I lose my room key?

Staff can unlock your room if you are locked out. A replacement key card costs €10 at reception.

I have something broken in the room, what do I do?

Report maintenance issues at reception. Damages caused by misuse will be charged to the resident.

I am going on a trip and will not be in residence for a few days, do I have to give notice?

It is requested that you notify staff so they can keep you updated.

Can I stick pictures and so on on the walls?

Use magnets on the designated magnetized board above the desk. Glue, tape, or nails that damage walls are not allowed and may impact your deposit return.
