Cancellation Policies
  • Cooling Off Period
    The student would have three weeks to complete the paperwork, during this time if the tenancy agreement is not executed then you are still able to withdraw. However, if you have paid a holding deposit and signed the holding deposit receipt then you will lose these funds once the Tenancy agreement is signed the contract is legally binding. 
  • Replacement Tenant Accepted
    If for any reason, you wish to move out before the end of the tenancy, you will still be liable for the rent until a replacement tenant is found. If you have signed for a property but you can no longer move in, there is no guarantee that you will get a full refund of any money already paid, and again you will be liable for the rent until a replacement tenant is found. 
  • No Visa No Pay
    If the student is unable to get a visa or isn't permitted into university then they have still entered a legally binding contract. The rent is still due but the property can assist you with finding replacement tenants.

    Students can indicate specific room number or location preferences during the booking process, and the Amber team will accommodate these preferences wherever possible, based on availability.

    Approximately 2–4 weeks prior to the scheduled move-in date, students will receive check-in instructions via email.     Students who wish to extend their stay can contact the Amber team for renewal or rebooking at the same accommodation. Our team will support the renewal process and help students secure a suitable room of their choice. Students are encouraged to reach out early to ensure they can rebook the same room or another room of their choice at the same property.

    Early check-in requests can be shared in advance with the Amber team. Our team will do a feasibility check to facilitate early check-in requests based on room readiness and availability. Additional charges may apply where applicable.
  • Payment and Fees

    Booking Deposit

    The deposit totals the equivalent of one month’s rent. Each tenant will typically pay a £100 holding deposit to secure the property. The balance of the deposit is then paid within four weeks.

    Guarantor Requirement

    All students require a UK guarantor if they wish to make monthly payments. If they are unable to provide this then there are options to pay all of the rent in advance.

    Security Deposit

    Security Deposit (per tenancy) -Five weeks’ rent- This covers damages or defaults on the part of the tenant during the tenancy.

    How do I agree a new tenancy with you?

    Once the terms and conditions of the tenancy have been agreed with our lettings team, the rest of the sign-up process is dealt with by our New Tenancies department. We will take payments and email tenants the paperwork to sign electronically.

    What is a guarantor and who can I nominate as mine?

    Most of our tenants who rent student houses in Newcastle require a UK guarantor who guarantees that if they fail to pay the rent, the guarantor will be able to pay for them. Most students nominate a parent or guardian as their guarantor. If you are acting as guarantor on behalf of your son or daughter, you will be given a guarantor form to fill in and return with a copy of photographic ID. The guarantor deed must be witnessed by a person not related to or living with the guarantor and not party to the tenancy agreement. The tenants sign a tenancy agreement which states they are both joint and severally liable for the rent payments and therefore, the guarantors are also joint and severally liable. This means tenants and guarantors are liable for the full rental amount, not just one persons share of the rent.

    What is a tenancy agreement?

    A tenancy agreement is a contract between a landlord and a tenant specifying the terms and conditions of the rental agreements between one another. An Assured Shorthold Tenancy is the most common type of tenancy agreement in the UK and is used usually when renting private residential properties. Tenancy agreements set out the rights and responsibilities that both the tenant and landlord must abide by, as well the terms of the contract including who the tenant(s) and landlord are, when and how much rent is due, and the dates of the tenancy.

    Do I need to pay council tax?

    Unless you qualify for discount or relief you will need to pay council tax. In some properties, the council tax may be included in the rent, this will be stated in the terms of your tenancy agreement. If everyone in the property is a full-time student, both UK and international students are exempt from paying council tax. The tenants simply need to provide Newcastle City Council with proof of student status.

    Do I need to take out Contents Insurance?

    The landlord will have their own insurance but this does not cover your belongings, so it is a good idea to take out contents insurance when renting a property to protect your valuables from theft or accident.

    What is a credit reference?

    For groups of fewer than three people, and for professional tenants who do not wish to provide a guarantor, Walton Robinson conducts a credit check on behalf of the landlord. We will contact your bank for their feedback on whether they expect you to be reliable in meeting the commitment of the monthly rent payments, based on your monthly income and outgoings.

All deposits are registered with a professional deposit scheme and tenants will be provided with a certificate to show the total held and the scheme it is held under. The deposit is held until the end of the tenancy and is returned subject to a check-out inspection and dependent on any damage caused or cleaning required.

    What happens if I need to move out early, or cant move in?

    If, for any reason, you wish to move out before the end of the tenancy, you will still be liable for the rent until a replacement tenant is found. If you have signed for a property but you can no longer move in, there is no guarantee that you will get a full refund of any money already paid, and again you will be liable for the rent until a replacement tenant is found.

    Can we change the furniture?

    Some landlords are willing to be flexible on requests such as extra storage space, small re-decorations, or replacement of furniture. Tenants can place requests through our lettings team who will speak with the landlord to confirm if any adjustments are possible.

    What happens if I lock myself out or lose my keys?

    If you are a tenant of one our managed properties, you can come into the office, leave us a 30 deposit and take one of our keys until a new one is cut. Once the replacement key is ready, you will be asked to return our key and will receive the key deposit back minus the cost of key cutting. If you are a tenant of a non-managed property, you will need to contact the landlord directly.

    What happens if there's an emergency and the office is closed?

    We want to take care of our tenants. You can call our emergency out of hours numbers. Please ensure these numbers are only used in an emergency as you will be charged for any unnecessary call-outs.

    Who do I speak to if I have a complaint?

    We aim to provide the highest levels of customer service, but if for any reason you are not completely satisfied, please let us know. You can contact the manager of the department your complaint relates to email.
