Booking Details

Cancellation Policy


If you choose to cancel your booking with Aspen, you will have 5 calendar days after signing your lease agreement to do so.If you made your booking fewer than 5 calendar days before your lease agreement start date, you may cancel your booking until the earlier of 

(a) 5 calendar days after signing your lease agreement, or 

(b) the date you actually check in.


You may request to cancel your booking by sending an email to bookwithme@aspenstudentlife.com Aspen will refund your deposit (less a 50.00 administration fee) within 14 calendar days of accepting your cancellation. International bank transfers can take longer to process funds and incur a transfer fee.


Cancellations after the cooling off period(s)


You will not be able to cancel your booking after your cooling off period has ended. You and your Guarantor (if applicable) will be required to meet the obligations set out within your lease agreement.


Cancellations after you have moved into the accommodation


We hope you speak to our local property manager if you are thinking about leaving your accommodation. If you do decide to leave your accommodation during your contracted term, the landlord may agree to release you from your contract, providing the conditions set out below are met:

You provide sufficient evidence to support your cancellation request You find a suitable replacement (who must be enrolled as a full-time student at a local university or college) to take a new tenancy agreement for your room for the remaining period of your contract. The incoming tenant must enter into an lease agreement with Aspen, providing the relevant requested documents, and where relevant also providing a suitable Guarantor. Refunds due will not be processed until the incoming tenant taking over the contract has signed the lease agreement, paid and moved into the accommodation.


If you fail to find someone to take over your tenancy, you and your guarantor (if applicable) will be responsible for paying the full rent until the end of your contracted time at the accommodation. You will also remain liable for the rent payment until the new tenants

lease agreement starts.


Cancellations by Aspen or the Landlord


Our terms and conditions require you to sign your lease agreement within the period specified on your electronic lease agreement. If you and your Guarantor (if applicable) fail to sign your lease agreement within this timescale, your lease agreement will be automatically canceled.

Aspen retains its right to cancel your lease agreement and retain your deposit should you fail to provide a suitable guarantor for your tenancy on more than 2 occasions. 


If for any reason Aspen is not able to offer you accommodation once your lease agreement is fully signed, we will contact you as soon as possible detailing the reasons why, or offering an alternative solution. If we cannot offer a suitable alternative, we will refund all monies paid to Aspen. Should you decline the alternative accommodation, you can find a suitable replacement tenant to take over your tenancy and you and your Guarantor (if applicable) will remain liable for the rent payment until such time.


First-year students who do not get a place at university: No Place, No Stay


This offer is applicable to undergraduate first-year students only. If you are a prospective first-year undergraduate student, and your offer of a place at your preferred university/higher education institution is withdrawn, you may be eligible to

receive a refund of your deposit minus a 50 administration fee.


You may also be eligible to cancel under No Place, No Stay if you choose to go to a different university in a city that does not have availability in a Aspen property. Where you have been accepted in university in a city where Aspen has availability in a property, your

booking will be transferred to that property.


To cancel under No Place, No Stay, you must supply either (a) a copy of a written rejection letter from your chosen university/college; or (b) a copy of the acceptance letter from a new university. This must be received by Aspen (bookwithme@aspenstudentlife.com) within 5 calendar days of receiving your results. On receipt of the required documentation, provided it is satisfactory, the agreement will be cancelled with a refund of your deposit, minus a 50 administration fee.

Payment Details

Mode of Payment:

You have two payment options: 


1. Pay in full :- This will be taken in August, or if booked in or after August, prior to the AST start date. Payment in Instalments (requires a Guarantor


2. Instalments:- 4 Instalment Option: 

August: 10% of total rent (or before lease agreement start date) 

September: 34% of total rent 

January: 34% of total rent 

April: 22% of total rent


Payment system charges a flat payment processing fee of 1.50 to all tenants when the tenant pays booking fees, deposits or non-automated rent instalments via our online portal provider

Frequently Asked Questions

Do I have to be a student to live at Aspen?

Simple answer is YES! Students are our primary focus, so youll need to be in part, or full-time education at an accredited university or college.


What do I need to complete my contract?

We try to make things simple at Aspen. So, you will need valid government issued ID (passport, driving license, or national ID card) and proof of student status (offer/acceptance letter from university, CAO offer/acceptance letter, student ID, or university/college enrolment form) and finally a valid credit/debit card to pay your deposit.


Guarantors

For the most part we do think its best to have a guarantor in place just in case unforeseen circumstances arise making it difficult to keep up with payments. We do however have payment plans where a guarantor is not required but its best to give us a call to get the full low down on all things guarantors and payments weve got a team ready to answer all of your question.


What happens at check-in and check-out?

Your arrival date and departure date are clearly shown on your contract with Aspen. If you have any questions, then please ask a member of the team. The team will contact you before your arrival to make sure everything is in order you will need to make sure you have valid ID and your rent paid before you arrive at Aspen.

Dont worry about departure just yet the team will make you aware of this process closer to the time!


I want to live with friends

Thats no problem, just give us a call and while youre making your booking just let us know the name of your friend or friends and well do what we can to ensure youre all living together. We want to make sure that all of our residents share a space with like-minded people so if you are booking as an individual with no special request to live with friends then well allocate a room which is surrounded by residents that study at the same university and are in the same year as you where possible.


Do we offer shorter contracts?

We have a limited number of short-term contracts, the best thing to do is give us a call so we can discuss and advise accordingly.


Disabled rooms

We operate an EVERYONES WELCOME policy, so we make sure that we have facilities that cater to the needs of all. If you have any medical requirements or disabilities give us a call so we can place you in a room that is suited to you and ensure your requirements are met.


When is rent due?

Were as flexible as a gymnast when it comes to payments. Weve got a number of different payment plans on offer because we know that everyones financial situation is different. You can pay in 4 instalments, monthly instalments or in full which ever you prefer. Get in contact with us if you wish to discuss the best payment options for you.


Deposits

All deposits are kept safe and sound ready to be returned to you at the end of your time with us. Well take back any unpaid rent & damage charges from it though so be sure to stay up to date and look after your room.


Guests

Feel free to bring a guest just be sure to head to reception and have them sign in and out when then leave. Please note that your guest can only stay with you for a maximum of 3 days, if you would like them to stay for longer then youll have to speak with a member of our team and have your request authorised.


Pets

As much as wed love to we just cannot have pets roaming around in our property so we operate a NO PETS policy. Guide dogs and therapy pets are more than welcome though, please speak to a member of our team for more information on this.


Security

We are staffed 24 hours a day so theres always a member of staff for you to talk to should you need anything or have an issue. We also have CCTV in place to ensure safety and peace of mind.


Maintenance

We have a dedicated on-site team on hand to resolve any issues that may arise during your stay with us. If there are any issues in your room, or you spot something in a common area, please report these to a member of the team.
