Cancellation Policy:-


Aparto understand that booking a room in student accommodation can be a big decision. they also know that bookings are often made before you know your exam results, or your personal circumstances may change unexpectedly prior to you moving in. This policy sets out the process for requesting a cancellation and the fees involved.


Our aparto assurance to all our Students

Due to the Coronavirus Covid-19 pandemic, they recognise there is a lot of uncertainty for students. At aparto they are committed to being as flexible as possible. If you book your September 2021 accommodation now, they will allow you to cancel your booking before 31st May without penalty.


Cancellation before you move in:

To confirm your application and booking, you need to read and sign the Assured Shorthold Tenancy Agreement (the AST)


An advanced rent payment of up to one weeks rent is required when booking. When you move in, this money will transfer to your rent account, provided that you have met the terms in the Agreement. 


Once you have signed your AST and paid your advanced rent payment online you are agreeing to take up your place within the accommodation and are bound to pay the AST fee in its entirety. Any subsequent request to cancel will require you to find a student to replace you, who is approved by aparto. This carries an administration fee of 100. For guidance on cancelling your booking due to travel and visa restrictions see below.


Online Courses


If your University decides to complete teaching of your course fully online, the tenancy agreement is still binding, and you are still expected to take up occupancy at the residence. All terms and conditions of the tenancy agreement will still be applicable. they understand that your experience is so important and If your course is moved online aparto will ensure that our experience and events programme will continue where possible in line with government guidance.


Travel


Due to the changing nature of of travel bans and lockdowns, aparto will review these on an individual basis. Travel for education is considered essential; It is the tenants responsibility to organise travel and aparto will not be liable for travel disruption.


Visas


If you are denied a visa, please let us know as soon as possible. they can cancel your booking if you have applied for a visa and it has been refused. Please let us know, with evidence within 5 days of your visa being refused.


If you are due to travel and experience issues obtaining a Visa they will try to hold your room for you while your Visa is being processed. Please ensure that you have the correct visa and college/university place before you arrive where necessary.  It is the students responsibility to maintain Visa status. If your Visa is delayed you may be responsible for the terms and conditions of the tenancy/licence.


The following is applicable to first-year undergraduate and pre sessional post graduate intakes only:


If you are not successful in obtaining your place at your chosen university/college then dont worry.  they will release from your tenancy and refund of any advanced rent payment where you can provide proof that you did not obtain a place at a university/college which is within a reasonable distance from accommodation booked. You will need to submit your request to cancel by email along with proof within five working days of the confirmation that you have received your place.


If you change your mind


After signing your agreement, the terms and conditions of the agreement, including all payments, are legally enforceable against the tenant. Once you have signed the tenancy agreement you must complete the advanced rent payment set forth in the rent schedule of the agreement. From signing the agreement you have 7 days to complete the guarantor information. In the event that the guarantor does not sign the agreement, the agreement will remain enforceable against the tenant.


If you sign your agreement before 31st May 2021, aparto will allow you to cancel your agreement before this date without penalty. If you sign your agreement after 1st June 2021 aparto will allow a period of 48 hours for you to change your mind. You must let us know in writing by email to the residence inbox if you wish to cancel your tenancy in this timeframe.  


For any refunds via international bank transfers a fee of 12 will be applied.


Failure to Check In


If you fail to check-in you will remain liable to pay any rent, or other fees associated with the original agreement, and they reserve the right to pursue for any sums outstanding in respect of the same.


Where possible, they may remarket your room. Until a new occupant has taken over the agreement and moved in, the tenant will be liable for the terms and conditions of the agreement.


Cancellation after you have moved in:

Once you have moved into the residence, you will only be considered for a tenancy release in exceptional circumstances.


You must have withdrawn from your University or College and provided proof in the form of a withdrawal letter, signed on headed paper from the institution. You must also have a suitable letter from the doctor or medical institution detailing the issue and why it has caused you to University


Tenancy Releases for exceptional circumstances will not be granted where:


You are still at University and have not withdrawn from your course

You have chosen to defer for a year for any reason other than above

You have left University of your own volition for any other reason, including not attaining correct funding or loan, or suitable grades during the year

The University has removed the tenant from your course for , including disciplinary

Once a tenancy release decision has been made, this decision is final and any appeal of this decision will be undertaken using the framework of the aparto complaints policy.


Tenancy Takeover


You may be able to arrange a release by finding someone else to take over your tenancy. Please get in touch and they will provide details of this process. The new tenant must be a student and aparto must approve the new tenant for the tenancy takeover to be valid.

Is there somewhere to park when I arrive?

If you need to unload your belongings, youll find some roads around the property where you can park free of charge for a maximum of two hours.

Where do I go when I arrive?

Please head straight to reception: Flats 1-48, Vogue Studios, 106 Lewes Road, Brighton, BN2 3QA Our team will be waiting to give you further info and the key fob to the apartment. If youre arriving later than expected and its out of hours, let us know in advance so we know when to say hello!

Do I have to be a student to live here?

Yes, our residents must be a student, enrolled in a college/university and be 17 years or older at check-in.

Do I need to have an UK guarantor?

Only if youve requested to pay in instalments. Otherwise, without a guarantor, youll be required to pay the full amount of your rent in August.

What happens if I dont pay my rent?

If necessary, we will take legal action to recoup.

What do I do if something isnt working in my apartment?

If theres a problem with your room or apartment, no matter how small, contact reception, fill in a quick repair form, and a member of our facilities team will be round to fix the problem as soon as possible.

Can I receive post?

Yep! You and your housemates will share a post box found in reception. Youll all receive a key to check on your post, while parcels can be delivered to reception for the aparto team to look after just be sure to bring ID with you when collecting.

Can I park my car?

We dont offer parking on site, but youll find plenty of nearby roads that have unrestricted parking.

Is there somewhere to keep my bike?

There is plenty of secure bike storage for our residents to use.

What will I need to do before I move out of my room?

Before you go, youll need to pack up all your belongings and give your room a clean we appreciate it if you leave it in the same condition as you found it. Hand back your fob/post box key when you check out; after that, head home and enjoy the rest of your summer.

Will I be sharing a room?

Unless youre sharing a studio room with a friend, all rooms in the building are single occupancy.

Who is responsible for cleaning my apartment?

You and your housemates are, so its helpful to have a cleaning rota in place from the beginning so things dont get too messy. You can bring your rubbish/recycling to the bin stores and all collections are included in your rental fee.

Who cleans the communal areas?

The aparto team will clean up these areas, but we appreciate if you could look after them in the meantime.

Where can I smoke?

The property and its grounds are strictly non-smoking, but feel free to smoke outside of the building, off-site.

Can I choose what floor I live on?

Sure, just let us know your preference when making your booking.

Can family and friends visit?

Sure, your friends and family can visit, but you can only have one guest stay in your room, at a maximum of 2 nights a week. You must be present during the entire time of their stay and sign them in on arrival.

Who is responsible for a guest while theyre on the premises?

While your guest is on the premises, you are responsible for them they must be signed in and out and follow all aparto regulations.

Can we have a party?

Yeah, go ahead, but wed appreciate it if youre considerate of other students living in the building and you clean up the place afterwards.

Do I have Wi-Fi?

You do! Wi-Fi is included, and theres also a broadband connection on your desk in the room.

Is a TV provided?

The propertys communal lounge area has a TV, but our studio rooms arent furnished with one. However, feel free to bring your own, just be sure your TV Licence is sorted beforehand.

What kitchen equipment is supplied?

Youll find a toaster, kettle, hob and oven/microwave, along with a fridge/freezer and storage. We also supply a vacuum cleaner, mop and bucket, and an iron and ironing board. We dont supply utensils, dishes, pots/pans and other small appliances though, so youll have to bring these things with you.

What about bedding?

We dont supply bedding so be sure to bring your own sheets, duvets and pillows with you.

How do the laundry facilities work?

Youll receive a laundry card/phone app with a PayPal account. Top either up with credit, and youre good to get your washing and drying done.

Can I personalise my room?

Sure, feel free to put up posters, photos of your friends and anything else that makes you feel at home. We just ask that the room is returned to its original state when you check out.

Can I pay my licence fee monthly?

Wed prefer it if you paid in three instalments over the course of the year, but talk to your Accommodation Manager, as they might be able to arrange another payment method.

Can I stay in my room over Easter/Christmas breaks, etc?

Yes, by all means as long as its between the start and end of your tenancy agreement, feel free to stay whenever you want.

Can I move in before my tenancy starts?

Sorry, you can only move in once your tenancy has started.

Can I change my tenancy dates to work around my University start and end dates?

Sorry, once the tenancy dates are set, we cant amend them.
