Payment Details

Cancellation Policy:-

 To secure your Room prior to 31st July, you must do the following within 7 days of receipt of this Tenancy Agreement (these seven days being known as the Decision Making Period):

  1. Pay your Holding Fee (which will be deducted off your first instalment of Rent if your booking is not cancelled)
  2. Both the Tenant and the Guarantor must sign the Tenancy Agreement.

If you have not paid the first instalment of Rent on the date of booking, this must be paid on or before 31 July otherwise we reserve the right to cancel your booking.

To secure your Room from and including 1st August, you must do the following within the Decision Making Period:

  1. Pay your first instalment of rent.
  2. Both the Tenant and the Guarantor must sign the Tenancy Agreement.

A Holding Fee will not be required for bookings made on or after August 1st.

Failure to secure your Room within the required timescale may result in the cancellation of your booking.

Cancelling within the Decision Making Period
The Holding Fee is refundable if you provide us with notice of your intention to cancel within the Decision Making Period.  If you cancel your booking after the Decision Making Period, your Holding Fee will not be refunded.  We will refund you your Holding Fee within 14 days of receipt of you advising us in writing of your intention to cancel and no Rent will be due by you.  No Tenancy Agreement will then come into effect.

Taking no action throughout the Decision Making Period

If at the end of the Decision Making Period if you have taken no action, i.e. not signed and accepted your Tenancy Agreement and/or not paid your Holding Fee and/or your first instalment of Rent then your offer will be cancelled on our system and your Room will be made available for someone else to book.

Cancelling after the Decision Making Period but before 31st July
If you cancel your booking after the Decision Making Period but prior to 31st July, any advance payment of Rent will be refunded to you less your Holding Fee, which will not be refunded unless you have evidenced that you are not able to travel to the UK or start your university course due to COVID 19 restrictions. 

Cancelling on or after 1 August after accepting your Tenancy Agreement and having paid your first instalment of Rent
To request to cancel your booking outside of the Decision Making Period on or after 31st July but prior to the Tenancy Start Date as set out in the Tenancy Agreement, you must meet any one of the following criteria:

  1. Your application for a visa has been declined. Please note that this does not include situations where your visa has been granted and subsequently withdrawn.
  2. You have failed to obtain your grades to study at university and as such do not have student status.
  3. You have evidenced that you are not able to travel to the UK or start your university course due to COVID 19 restrictions.

If you meet the above Cancellation Policy, your request for Cancellation will be granted, your Holding Fee and the first instalment of Rent (pro-rated) will be retained by us but you will not be liable for the payment of Rent for the balance of the term of the Tenancy Agreement.

If you need to cancel your booking on or after 31st July after accepting your Tenancy Agreement and having paid your first instalment of Rent but cannot meet the above Cancellation Policy you will remain liable in full for the Rent for the full term of the Tenancy Agreement.

If you need to cancel your booking after 31st July after accepting your Tenancy Agreement and having paid your first instalment of Rent but cannot meet the above Cancellation Policy, we will accept a replacement tenant for your room at our sole discretion. It will be your responsibility to find a replacement tenant and we will have sole discretion on whether the new tenant passes all administrative checks.  Please note that we will not agree to a replacement tenant unless all outstanding accounts with us are settled.

If we agree to accept a replacement tenant you will be required to pay an administration fee of 50 to us for our administration costs.  Once the replacement tenant has entered into a Tenancy Agreement and paid their first instalment of Rent, you will not have to pay any further Rent for the Room.  Please note that no replacement tenants will be accepted for any tenancy which is terminated after 1 June and that you will be responsible for the costs of cleaning of the room once you have left.

Any decision made to release you from your Tenancy Agreement for any reason that does not fall within these criteria is made by us, at our sole discretion on a case by case basis.

If after accepting your Tenancy Agreement you inform us that your university course start date has been deferred, then subject to being provided with suitable evidence of the deferment we will agree to defer the Tenancy Start Date for an equivalent length of time up to a maximum of 4 weeks or until 16 October, whichever is the earlier. If agreed, you will be required to enter into a supplemental agreement documenting the change to the terms of the Tenancy Agreement and dealing with any adjustment to the Rent payments (if required).

 Room Moves

Room moves after the start of the Tenancy Agreement will be managed based on availability at our sole discretion. An Administration Fee of 50 will be payable.

Frequently Asked Questions

Do I need a guarantor?

We need details for a guarantor for every lease, even if you intend to pay in 1 instalment. This is because they will take responsibility for any unpaid arrears or damage during your tenancy period. Your guarantor will need be someone who is not in full time education, or living in student housing.

Who can be my guarantor?

Your guarantor can be anyone not currently in full time education. They do not need to be a UK resident either, unless you are applying for an 8-date instalment plan - most residents use a parent, guardian or family member. However, please note you can NOT act as your own guarantor.

When will I have to make my payments?

You can choose to pay for your lease in 1, 2, 4 or 8* instalments. The due dates for these instalment plans will be as follows: 1 payment, due: 31/07/2020 | 2 payments, due: 31/07/2020 & 13/01/2021 | 4 payments, due: 31/07/2020, 09/10/2020, 13/01/2021 & 06/04/2021 | 8 payments, due: 31/07/2020, 12/10/2020, 16/11/2020, 11/01/2021, 08/02/2021, 08/03/2021, 05/04/2021, 03/05/2021.

How can I apply for an 8-date instalment plan?

To apply for our recently added 8-date instalment plan, your booking must be made directly through your chosen Chapter or our Central Sales Team. The 8-date instalment plan is available to UK & EU residents only.

Do you offer any discounts?

If you pay in 1 instalment, your total amount payable will be 2% cheaper than if you chose to pay in 2 instalments. If you pay in 4 instalments, your total amount payable will be 2% more expensive than if you chose to pay in 2 instalments.

How can I make a payment?

You can make a payment using a credit or debit card, either on the internet or over the phone. Please note, we do not accept American Express. You can make a payment via Union Pay, or via bank transfer 

Whats included in the price?

All your bills water, electric, gas, internet, gym and use of all the social spaces are included in the price. There are no hidden charges, what you see on your contract is what you pay (besides any damage to the room or fines you incur).

Am I allowed to have guests to stay?

You are welcome to have guests through the daytime, and an overnight guest for a reasonable amount of nights. You'll need to get permission from management for an extended period. They will need to provide a form of ID to check in through your resident portal, and you will be responsible for them throughout their stay. Please note, you will also need written consent from management if your overnight guest is under 18 years of age.

Is there an age limit for booking accommodation with Chapter?

As a minimum age requirement, all Chapter residents need to have be or have turned 18 during their tenancy with us. This is due to the legally binding tenancy agreement that each resident is required to sign before arrival. We have no upper age limits on our accommodation, so long as the resident is in full time education for the duration of their stay.

How secure is the accommodation?

We have CCTV in and around each property, an electronic key entry system for the main entrance, common areas, each flat and bedroom. There is also staff on site 24 hours a day, 7 days a week.

Will I need to pay council tax?

In the UK, students are exempt from paying council tax you wont need to pay this, but if the council do mistakenly bill you, you will need to provide details to prove that you are in full time education.

Do I need a TV Licence?

If you bring your own TV, or want to watch or record programmes as they are shown live (including on mobile phones, tablets or computers), you will need to apply and pay for a TV License. This also includes TV's provided by Chapter.

What if something in my flat breaks?

If youre having any problems with your room, a shared living space, or one of the communal areas, you have two options. You can log the issue using the Active Building resident portal, providing details so our maintenance team can get this sorted for you as soon as possible. Alternatively, you can come down to your reception and talk to a member of staff so we can log it on your behalf.

Can I have pets?

Unfortunately, you are not allowed to keep any pets in your room or any shared living spaces.

What happens if I dont get on with my new flat mates?

We want your university experience to be as positive as possible if you are having any issues with flat mates, please let us know. We will do our best to help resolve any problems you might be having.

Can I receive post and parcels?

Each flat has its own lockable mailbox located in the lobby - your room keycard will also give you access to this. If any larger packages, or anything that requires a signature arrives for you, well hold onto it and let you know via text or email so you can come and collect it. For security reasons, you will need to provide photo ID and give a signature to confirm collection. Post will not be given out to other residents on your behalf without written authorisation

Can I live with my friends?

We are more than happy to accommodate groups as well as individuals. Let us know who youre planning to live with, and well do our best to accommodate you in the same flat.

Am I allowed to live with a partner or friend? How much will it cost?

Two people can share some of the bigger studios at our properties, which will add an additional 100 per week to the rent. Please contact us directly if this is something youd like to organise. Please note, both inhabitants need to be full time students, studying at least 20 hours per week.

What appliances and furniture are included in my room?

All rooms come with a bed, desk and chair. Extras such as kettles, toasters and lamps are not provided.
