Cancellation Policy:-


Cancel booking during Cooling Off Period


1. You must have emailed the onsite teams confirming your request to cancel.


2. If you cancel within the 7-day cooling off period, they will not charge you, and they will return your deposit to you within 30 days of the cancellation being confirmed.


3. Once you receive confirmation, you will no longer be liable for the contractual obligations set out in the Tenancy Agreement.


4. Any cashback or incentives will be cancelled along with your tenancy, you will not be entitled to any full or part payout of these offers.


5. If you have signed a joint tenancy agreement, your co-tenant must have also agreed to the cancellation.

Cancel Booking After 7-Day cooling off period


1. All request to cancel/replace tenancy must be received in writing to the onsite teams.


2. If a replacement tenant is found after your tenancy start date, they will release you from your obligations from the start date of the new tenancy.


3. The new tenant must meet our standard criteria for a new tenancy agreement.


4. Subletting your room is prohibited.


5. You will be liable for any rent due, from your tenancy start date, up to the new tenancy start date.


6. If you have signed a joint tenancy agreement, your co-tenant must also meet the cancellation criteria and sign a new agreement within 7 days of your request to cancel your agreement, or you will both be liable for the tenancy obligations.


7. If you fail to arrange a suitable replacement tenant, you will remain liable for the full agreement.


8. Any cashback or incentives will be cancelled with your tenancy, you will not be entitled to any full or part payout of these offers.


9. A 50 administration charge will be retained from your deposit.


10. If you have occupied the room prior to the new tenant, normal check out inspection will apply, and any reinstatement costs will be retained from your deposit.


11. All outstanding balances must be paid in full before you can be released from the tenancy.


12. If your request to cancel your tenancy agreement is approved before your check-in date, with no supporting evidence or replacement tenant found, your full deposit will be withheld. Notice to cancel must be received in writing at least 7 days prior to your tenancy start date.


13. If your request to cancel is not approved, you will remain liable for the full tenancy agreement.


14. Any remaining deposits are refunded within 30 days of check out.

Exceptions T&Cs


1. All cancellation requests must be received in writing with supporting evidence within 72 hours of your notification.


2. If you fail to obtain the required grades you must email the onsite team within 72 hours of you receiving your notification, including your UCAS notification which confirms your grades.


3. If your UK Visa Application is denied, you are required to email the onsite team within 72 hours of you receiving your Visa notification, including your Visa refusal documentation.


4. Your deposit will be refunded and booking cancelled, providing your request and evidence is received within specified timescale. Any deposit due will be refunded within 30 days of your cancellation being confirmed.


5. Deposits will be retained in full, unless you fail to provide suitable evidence within the specified timescales.


6. All outstanding balances must be paid in full before you can be released from the tenancy.


7. Any cashback or incentives will be cancelled along with your tenancy. You will not be entitled to any full or part payout of these offers.

Moving Rooms


1. All outstanding balances must be paid in full, prior to a move being agreed. You will not be eligible for a room change if your account is in any payment arrears.


2. Normal check out inspection will apply, and any reinstatement costs will need to be paid prior to your move.


3. If the room price is greater than your previous room type - any additional rent will be calculated from the start date of the new tenancy agreement to the end of the new tenancy agreement.


4. An administration charge of 50 will be required when application is approved.


5. Any cashback or incentives will be cancelled with your tenancy, you will not be entitled to any full or part payout of these offers.


6. If you have signed a joint tenancy agreement, and are not moving in with the same person, your co-tenant must have agreed to the cancellation criteria and sign a new agreement within 7 days of your request to cancel, or you will both be liable for the tenancy obligations.

Tenancy Release Special circumstances


1. property are not obliged to release you from your tenancy


2. Each request made under special circumstances will be review on an individual case.


3. Any decision made by property is final and is not subject to appeal.


4. The request must be made by the tenant in the first instance, unless they are incapacitated, in which case an application can be made by a parent/guardian or a person holding a recognised Power of Attorney.


5. If a release from your tenancy is granted, you must pay all amounts due up to the date which the release was confirmed, unless 6a applies.


6. If you have signed a joint tenancy agreement, and your co-tenant is not effected by any of the outlined grounds for release, they must sign a new agreement within 7 days of your request to cancel your agreement and they will remain liable for the remaining tenancy.

Frequently Asked Questions

Can I stay with Property Management after my first year?

Of course! they can accommodate all university students, so you could stay with us for the duration of your course! You can specify which year of university you are going into when you make your application. This is of course subject to availability and some of our rooms are on nomination agreements with the university.

Can I book if I am under 18?

they require that any tenant living at one of our Property Management sites is 18 or over. If you are still 17 and making a booking, dont worry - just make sure you will have turned 18 before you move in.

Can I book if I am not a student?

they require that any tenant living at one of our Property Management sites is a student in full/part time education.

Are there any additional charges?

TV Licence Any TV provided by Property Management is already covered by our licence. If you have brought your own TV you will require a TV licence. To find out more and apply go to the official TV Licensing Website.  WiFi they offer free internet access in all our buildings, the speeds are available in our FAQ Wifi section.  If you wish to use a different service with ask4 you can contact them directly for any additional charges Insurance Insurance with cover4insurance.com is included in your fees. Personal Possessions up to 7000 Computer Equipments up to 2500.  You can increase your cover for additional items/elements or value by contacting Cover4Insurance.com. 

When do I pay my rent?

If you have booked for 2019/20, your rent will be taken in 3 installments on the following dates: 30th September 2019 13th January 2020 27th April 2020 If you prefer you can also pay in full at the start of your contract. If you are unable to make your rent payment on or before these dates for whatever reason you must inform the accommodation team at your site either by coming to the reception desk or calling the telephone number on the site web page.

What do I do if there is a problem with my room or flat?

You can log maintenance issues through the online portal by logging into your account on the website and click Maintenance request. You can also report urgent issues to reception either by coming to the reception desk or calling the telephone number on the site web page. A member of our friendly on-site maintenance team will aim to resolve the issue for you quickly. 

How can I obtain the instructions on appliances within my flat?

If you require any instructions or user guides please contact your property manager who will be able to assist with this, or any of our staff on site will be able to assist with this.

When can I move in?

If you booked directly with us, you will be able to move in on your tenancy start date, please check your tenancy agreement for confirmation of this, or contact the accommodation team at the site you have booked.

Can I move in earlier than my tenancy start date?

If you need to move in earlier than your tenancy start date, please contact the site you have booked at, all contact numbers and emails can be found on their web page. Early arrivals are subject to availability and you will need to pay any additional rent due before you move in.    

How long can I live with Property Management?

Property Management offer different length contracts, as well as short-term contracts. If you are interested in a short-term contract, please contact the site directly, we can accommodate a stay of 2 weeks or longer. There will be a weekly charge, this would usually be due before you moved in, but arrangements can be made for monthly payments on request.

When can I move out?

You can move out whenever you want. However, remember your contract is a fixed term tenancy agreement so even If you move out before your tenancy ends you will still need to pay the full amount of rent.

Can I extend my contract if I need to?

If you need to extend your contract for whatever reason, please contact your accommodation team directly for prices and information. Extensions are subject to availability.   

Do I need a guarantor?

To book with us you will need a guarantor. However, please note your guarantor does not have to be UK based, but must be in a position to pay any rent due if you are struggling to pay your rent or your student loan is late. If you have any questions about nominating a guarantor, please get in touch and wed be happy to advise further. If you pay your rent in full upfront, we may be able to offer you a non-guarantor option. Please contact us prior to making your application to discuss.

How many people can share each flat?

Our shared flats range from 3 to 7 beds. If you need any advice about which option would be right for you, our staff would be happy to help.

Can I choose which flat I would like to be allocated to?

When booking directly with us, you can view floor plans for your chosen building, and you can select your own room. This gives you more control over where you will be living and who with!

Can I find out who my flatmates are before I move in?

While we can let you know the ages and genders of your future flatmates, we cannot provide their names or any other personal information. This information is present during the self-select process on line. However, you can find your flatmates through our Facebook pages, or through your Universitys social media its a great way of getting to know everyone in your flat before youve even moved in!

Can I book with my friends?

If youre planning on living with your friends, youre in luck! We can accommodate groups of 4-7, depending on availability. Contact your site directly with the names of your group and we will be on hand to help.

What do I need to bring with me that my accommodation doesnt already provide?

Unsure of what you need to bring for your bedroom? Were here to help! When it comes to your bedroom, please note that we do not provide bedding. We suggest you bring along a duvet, pillows and bed linen. You may also want to bring clothes hangers, towels and a laundry bin. While we provide some kitchen appliances, we do suggest each tenant brings their own crockery, cutlery and other kitchen utensils. Upon arrival, most students living in shared flats arrange with their flatmates to buy some communal items - we recommend this as a cheaper option which would also avoid cluttering the kitchen with multiple items. For a full list of what we advise you to bring, check out your student handbook. If you are unable to bring certain items with you, dont panic there are plenty of shops close by where you can find the things you need.

Can I park onsite?

We do not provide car parking at our sites. We advise residents not to bring cars to our accommodation as parking can be long walking distance from our sites and also costly.  St Lawrence House is the exception, with a limited amount of parking available.  Please contact site for costs and availability.

Can I smoke in my flat?

No, you cannot smoke in either your room or the communal areas of your flats. Smoking is a fire hazard and is forbidden in flats on all Property Management sites. There are designated smoking areas in every building which you are welcome to use.

Can I have guests over?

As a tenant of an Property Management site you are more than welcome to invite guests to your accommodation. If your guest is staying overnight please let a staff member at your accommodation know. We also suggest that if you do invite guests be mindful of your flatmates: let them know before your guests arrive, and ensure you still comply with site rules regarding noise in the flat. Moreover, remember that as a tenant of an Property Management site you are responsible for the behaviour and actions of your guests.

Can I swap rooms?

It may be possible to change your room after you have moved in - we suggest you get in touch with your accommodation team on site, over the phone or through email. Please note to be able to complete a room move, your rent account will need to be fully up to date, an inspection of your room will take place and you will incur a 50 administration fee that will need to be paid before the move can take place.

Are there staff available onsite?

Each Property Management site has a friendly team available to our residents 24/7. For some of our sites, an emergency contact number will be provided when staff are not onsite.

Are Property Management sites safe?

Many of our Property Management sites have onsite security staff and digital entry systems in each building. For some of our sites an emergency contact number will be provided when staff are not onsite, ensuring that our buildings are safe and secure.

If someone not able to cover the rent due to my financial situation?

If you have been affected financially due to COVID-19, and are experiencing difficulties in paying your rent, we are able to offer you a payment plan or agree a deferred payment for your remaining rent. This can be spread over monthly payments provided all rent is paid within 12-months or deferred for a 3-month period. Please speak to your onsite team to arrange it. Can I be released from my semester 3 obligations? The terms and conditions of our Tenancy Early Release have been agreed in line with government advice, if you have not already been released, this means you are not eligible. Any student who wishes to be released at this stage would need to qualify under our normal cancellation policy. The gym, common spaces are closed can I receive a discount? In response to COVID 19, all communal spaces have had to be closed due to infection control. We are only enforcing this during the lockdown period for the safety of our students and staff and to adhere to government guidelines. As soon as the lockdown restrictions begin to lift and it is safe to re-open these areas, we will do so in line with government advice. We are not be able to offer a rent discount for this. 

Can I pay less as I am staying next year?

 We are unable to offer any discounts, however, we may be able to assist you by allowing you to leave your belongings in your room during the summer period. Please ask your onsite team about our summer storage options. Can I pay less due to the reduction in the use of gas, electricity, and water bills? All our buildings are still operating and open to our residents, we are unable to offer any discounts.I am not currently living on site can I just pay to the date I stayed? You are legally obligated to pay the full term of the contract. As we have not requested students to leave and our buildings remain open and operational. We will not be able to cancel your tenancy agreement or refund you for any period where you have not stayed at site if you have not been deemed eligible.I am on a 44-week contract due to end in July. If I cannot collect my room items to check out, will they remain in room? We are allowing students up to 10 days after the end of the lockdown restrictions are lifted for students to retrieve items from rooms, clear, clean, and return keys. The UK Government guidance changed on the 21st May allowing students to return and collect their belongings if traveling in England. If you are unable to return 10 days post lockdown, you will need to arrange for someone else to collect your items or contact our partners at Pinglocker to clear, clean and deliver your items to your home. If you are staying onsite next year, the onsite team can advise you of onsite summer storage (no charges apply). This may involve social distancing measures and you will need to liaise with your flatmates to ensure a rota is in place for your safe return. 

Can I arrange a shipping company to collect my room items during weekends or out of office hours?

If there are no members of staff at the site, how can we give them my room access? If this can be arranged during the reception opening times, a member of the onsite team can facilitate this for you. Please speak to your onsite team directly to confirm the arrangements. 

Can my friend pack up my room items and leave boxes/suitcases at the reception?

The shipping company will not collect from my room (not using Pinglocker). Yes, we will require you to send permission to us in writing to the onsite team via email.  I want to book for summer or extend my current tenancy, can I? If you would like or need to extend your booking beyond your tenancy end date, we can accommodate this, please contact your onsite team by email or phone to make arrangements. We will facilitate summer bookings wherever possible, please contact the onsite team directly to find out what is available for you.
