1. Once your tenancy begins, the Holding Deposit will convert into a refundable Security Deposit.

2. All deposits are protected and registered with the Tenancy Deposit Scheme (TDS), a government-approved tenancy deposit protection provider.


End of Tenancy Process

1. A final room inspection will be conducted before your move-out.

2. If any deductions are necessary (e.g. for damages or cleaning), these will be discussed with you directly.

3. Provided the room and its contents are in the same condition as when you moved in and your bank details have been submitted via the Portal, your deposit will be refunded within 10 working days.


Refund Policy

1. If you cancel your booking within 14 days of receiving your Accommodation Offer, you will be entitled to a full refund.

2. After 14 days, the Holding Deposit becomes non-refundable, unless stated otherwise in our cancellation policy.

Note: This non-refundable clause does not apply to properties located in Scotland.

2. Cash and Cheques will not be accepted and will be turned away if presented at site.

3. Recurring Card payments can be selected at the time of booking and Direct Debit can be selected by the online portal. If an alternative method of payment is required, such as a bank transfer, or you wish to change your payment method, please contact the property team directly for details.

Guarantor Requirement

For 26-27 AY:-

1. If you choose to pay your rent in three instalments, you must provide a UK-based guarantor.

2. A guarantor is not required if you pay the full annual rent in advance.

3. International students who do not have a UK-based guarantor may use Housing Hand to enable payment in instalments instead of making a single upfront payment.

4. A guarantor must be aged 18 or over and agrees to take joint financial responsibility for the tenancy, including paying the rent if the student is unable to do so.

Please Note: The property reserves the right to pursue the guarantor for any outstanding amounts, so it is essential that the guarantor fully understands and accepts these obligations.

Cooling Off Period

For 26-27 AY:-

1. The tenancy agreement has already commenced and if you have not collected your key, you may also cancel at any time within the period of fourteen (14) days of the date on which you sign your first tenancy agreement for the 2026/27 Academic Year or Semester (the "Cooling-off Period").

2. During the cancellation period you may cancel your tenancy, by giving notice in writing or by e-mail to the manager at the property.

3. Once we receive such a notice, we will confirm receipt, cancel your tenancy, and will refund your advance rent payment, together with any other payment of rent you may have made.


Note: Cancelling after the cooling-off period means the deposit is non-refundable, and you (and your guarantor if applicable) are responsible for the tenancy obligations.

No Visa No Pay

For 26-27 AY:-

Cancelling as you do not receive your visa

1. If you are not successfully awarded a visa to travel and study, then we can help.

2. Firstly, we may be able to transfer you to another one of our residences around the globe if you are going to study elsewhere.

3. If you are not going to study elsewhere or we do not have accommodation available in your new city/town of study, we will release you from your tenancy agreement provided the following criteria are met:

a) You submit your request to cancel, in writing or by e-mail to the manager at the property, within 3 days of your visa rejection letter: and

b) You provide the manager with a copy of your rejection letter from the embassy or visa office.

4. If your tenancy has commenced, you will remain liable for the rent payable under the tenancy agreement until receipt of the above.

No Place No Pay

For 26-27 AY:-

This is applicable to prospective first-year undergraduate students only

1. If you are not successful in obtaining your place at your chosen university, then don’t worry, we can help. Firstly, we may be able to transfer you to another one of our residences if you are going to study elsewhere.

2. If you are not going to study elsewhere or we do not have accommodation available in your new city/town of study, we will release you from your tenancy agreement provided the following criteria are met:

a) You submit your request to cancel, in writing or by e-mail to the manager at the property, before 22nd August 2026; and

b) You provide the manager with a copy of your rejection letter from the University or UCAS.

3. Once we have your request, we will confirm receipt and refund your advance rent payment, together with any other rent payments you may have made.

Replacement Tenant Accepted

For 26-27 AY:-

1. Outside the cooling-off period, you may request to cancel your tenancy, by notice in writing or by e-mail to the manager at the property.

2. However, you shall remain liable for the rent payable under the terms of the tenancy agreement until a suitable replacement tenant has been secured. It is the tenant’s responsibility to find and suggest a suitable replacement.

3. Liability for rent will continue until the replacement tenant has successfully completed their fourteen (14) day cooling-off period.

Other cancellation policies

For 25-26 AY:-

Period Before You Enter Into Your Tenancy Agreement

The Landlord and property management reserve the right to not return your Holding Deposit and cancel your booking on notice if:

1. They take all reasonable steps to enter into the Tenancy Agreement before the deadline and you fail to do so, for example, if you fail to complete your application or provide guarantor details and supporting documentation in good time;

2. You provide them with irrelevant false or misleading information; and/or

3. They are prohibited from entering to the Tenancy Agreement because of the Immigration Act 2014.


Cancellation By The Property Team or The Landlords

The terms and conditions require you to sign your Tenancy Agreement online within 14 calendar days of receiving the Offer of Accommodation. If you fail to sign your agreement within this timescale, the property management may cancel your booking, giving notice by email and you will forfeit any booking fee paid if it is outside the cooling off period above.

If you fail to find someone to take over your tenancy, you will be responsible for paying the full rent until the end of your contracted time at the accommodation.

If you fail to check-in on your accommodation start date and you have not signed your agreement, the property management may cancel your booking at any time by giving notice by email. If you are outside the cooling off period, your Holding Deposit will not be refunded. Once you have signed your Tenancy Agreement, it may only be terminated if you and the property management mutually agree to do so or in the circumstances set out above.


Cancellation for any other reason

If you have entered into the tenancy agreement and you wish to cancel your booking after the cooling off period has expired and you do not fit into the property management's eligible criteria above, you will not get your holding deposit returned to you, and you and your guarantor, will be required to meet the obligations set out within the tenancy agreement regardless of whether you have collected your keys.


Room Swaps

If you wish to upgrade your room, or move to a different room type, which is the same type as your original choice, you can do so free of charge up until the Tenancy Start Date, subject to room availability. Room moves after the start date will be subject to room availability. An administration charge of £50 will be payable for the variation of the Tenancy Agreement.

Frequently Asked Questions

Is there an age limit for booking with Students?

The residence only accept bookings if you are over 18, with the exception of properties in Scotland where you must be 16 or over. This is due to the legally binding tenancy agreement that every tenant is required to sign when living at the accommodation. They also can only accept people in full time education.

Do you provide female only accommodation?

We do provide female only accommodation in some of the schemes but it is not guaranteed that this will be possible. Please speak to the amber team to find out more information.

Can I choose who I live with?

We are more than happy to accommodate groups as well as individuals. Where you are not booking in a group, the residence team understand your flat mates will be key to your experience so when you book as an individual, they will ask you a series of questions to help them to match you with the perfect flatmates.

Am I allowed to have guests?

Yes. It is your home so you are allowed to have guests visiting you.

Is there always a member of staff available?

Their standard office hours are between 10am 5pm. Out-of-office hours are also supported by emergency contacts.

Are there social events organised for the residents?

Absolutely! They want their community to suit you, so they wont force you to come to their events but you are always welcome. If you have your own suggestions for them even better!

Can I bring my own electrical equipment for cooking, i.e. rice cooker?

No they do not advise you to bring your own electrical cooking equipment for health and safety reasons.

Who cleans the room and the communal area?

The students are responsible for their own rooms and communal kitchen within the flat. All other rooms and communal areas are cleaned by the site cleaner.

Can I smoke in the accommodation?

Smoking is not allowed within the accommodation, however there is a designated smoking area outside the building.

What happens if I don't get on with my new flatmates? Can I swap rooms?

If you are having any issues please contact the accommodation team in the first instance, they will do all they can to help. In exceptional circumstances it may be possible to move you; however they would look to resolve any issues with you all.

What if something in my flat breaks or isn’t working?

Drop them an email or pop into the office to let them know, their on-site Maintenance team will be able to deal with most things.

Can I have pets?

No pets are permitted under the term of the tenancy agreement.

Can I have my groceries delivered to site?

Yes. Groceries can be delivered to the reception area, but you are to ensure that you are available to take receipt of the delivery. Delivery drivers are not to be given access to the flats.

Do I need to pay a deposit to book a room at this property?

What is Housing Hand?

Housing Hand provide a guarantor service for both International and UK students who do not have a suitable or qualifying UK guarantor.

Can you explain more about the relationship between Housing Hand and Accommodation?

Housing Hand works in partnership with the accommodation to stand as your UK rental guarantor. Accommodation requires all students to have a guarantor if you are not able or willing to pay your rent in full for the year. If you choose the instalment plan option and can provide your own UK guarantor, providing they qualify, then you do not need to use Housing Hand. If you choose the instalment plan option and cannot provide a UK guarantor, then Housing Hand will be able to provide this service for you.

How much does the service cost with Housing Hand?

Housing Hand charges a one off fee that you will either pay up front at the start of your tenancy or monthly (if on a 12 month contract).

For students the fee will be between 60-95% of your monthly rent with the minimum price starting at 295 for 12 months cover. The exact cost depends on your personal details and several factors including the amount of your rent, you will be given a no obligation quote for the cost of the service on application.

Can I pay in instalments?

I have booked a room but failed to obtain a visa, can I cancel my booking?

Yes you are entitled to cancel your booking but they will need you to provide proof for this.

What’s provided in the bedroom? Do I need to bring my own bedding?

Facilities and features can vary; typically you are provided with a bed, a study with a desk and a chair, bookshelves, wardrobe and plenty of storage. Bedding is not provided with each room as most of their students prefer to bring their own, however you can order bedding and kitchen utensils from their friends UniKitOut to be delivered to your room prior to your move in.

Can you arrange an airport pick up service?

Most sites will be more than happy to arrange an airport pick up service for you. You just need to let them know your name, arrival date and time and your flight number, well then arrange the transport for you. Please ensure you have enough UK Sterling to pay the taxi fare and check with your chosen property first.

Can I move in before my contract starts?

It is possible but it depends on each scheme. The residence team would advise you to check with them before you make any arrangements.

Can I stay over the summer?

Most of the sites offer summer stays. Please check with the amber team for further information.

What documents do I need to check in?

You will need to bring a method of Identification with you to the accommodation, either a Driving License or Passport, a letter of confirmation from the University. They also need a passport photograph.

Is there somewhere to park when they are unpacking?

If you are travelling via car on move in day they will inform you in advance whether there is a drop off bay on site for you to off load any suitcases or belongings, or they will send you the location of the nearest car park. Its important to book your move in slot with them in advance so that they can make sure these resources are available to you on the day.

I will be arriving out of hours on move in day, is this okay?

They understand that sometimes students will need to arrive outside of arrival hours. They ask for you to contact your Accommodation Team at the earliest possible opportunity to ensure that they can provide all the necessary information and ensure that they have got everything ready for your arrival. For example they need to ensure that they have received all relevant documentation, the booking fee and first instalment before they can move anybody in.

Who will I meet on move in day?

It might not be a manager who will be there for the check-in however the Accommodation Team will always aim to introduce themselves at the earliest opportunity so you know who they are.

Can I move out early?

Yes but you will still have to pay rent for the full length of your agreed tenancy, even if you no longer live at your accommodation.

When something is broken or doesn't work, how does my son/daughter report maintenance?

In the event that something is broken or doesn't work in any part of the accommodation, the student needs to report the issues to the accommodation office who will escalate it accordingly. They have accommodation maintenance wizards that work full or part time on site depending on the property. They are there for the hour of need replacing light bulbs, blown fuses, blocked showers etc. They do also work with local contractors for isolated issues. Your son/daughter will always be given at least 24 hours notice if a maintenance operative or contractor needs to access their room. They always offer for the maintenance operative/contractor to be escorted for the jobs entirety if necessary.

How to communicate with them?

They know it can sometimes be unsettling when your son/daughter leave home for the first time, despite it being one of the proudest moments they understand it can be hard. As parents its natural to worry, they find a common one is their students not responding to phone calls or e-mails as quickly as they might have done at home. They always respect that all their students are responsible adults and are sensitive to respecting their privacy, however they appreciate that some situations can be distressing. They therefore always encourage all their parents to contact the accommodation team by phone or e-mail (details available on your relevant scheme page) if you have any concerns regarding your son/daughter. A member of the accommodation team will pop over to their room to give a friendly knock on the door to check everything is okay. If there's any reason why they aren't able to support your concern they will always try to direct you to the appropriate department at the University/College.

Can students have post and parcels delivered?

They are proud to offer a postal service during office hours within their schemes. They always communicate the postal process to their students when they move in, however they will always make every effort to ensure that your daughter/son gets their mail safely. They always asks for students to inform the staff if they are expecting a recorded or special delivery for the site team to ensure that someone is available for the delivery. They also always ask for the student to bring some ID for when they come to collect the parcel. They recognise that the students cant always come down themselves; they are flexible with friends picking up parcels however the student needs to contact the accommodation team to let them know in advance.

They cannot be liable for any direct, indirect or consequential loss arising from accepting mail on students behalf. Although they will make every effort to ensure the students get their mail safely, they will not be responsible if recipients fail to collect their deliveries, packages are stolen or damaged due to circumstances beyond the control of the accommodation team. They also are not responsible for packages that arrive outside office opening hours or when the accommodation team are out of the office. If the students dont collect their mail within 4 weeks it will be returned to the sender.

How do you allocate rooms?

They take booking preferences very seriously and take great pride in being able to accommodate these in most cases. There is a preference box on the booking form which allows the student to put any preferences they might have, for example friends they wish to live with, location of room within the building, same sex cluster flats. They always do their best to accommodate these preferences, if for whatever reason they cant fulfil them they will always try to achieve one or two and notify the student if they aren't possible.

Do I have to pay council tax?

Students do not have to pay Council Tax, but the council must be informed that you are a student and apply for exemption as this does not automatically happen. It is the responsibility of every student to apply for exemption, your University/College or accommodation provider* cannot do this for you, though they can help you!

How secure is the accommodation?

At accommodation, they want you to feel safe and secure at all times. They understand how important safety and security is to students when it comes to choosing a place to live. That's why we've taken every effort to ensure that they provide the best services so that their students can thoroughly enjoy living with them. I started living here 4 months in September 2022, ever since then, oxford house has been as comfortable as my home in India. People at the reception like Sharaz, Polina and many more are very polite and friendly, there not only the member of staff but friends as well. The service provided are very helpful. Study pods have been of big assistance used it during my assignments. Cinema room is my favourite space after my room of course.

Great accommodation, Very friendly and helpful staff. I was looking for a half term accommodation and Oxford House was the only one that provided such agreements when i was in my second year. It has the best and most convenient location in Newcastle. It’s exactly in the middle from Northumberland street and Northumbria University only 3-4 minutes walk towards them.

Really great student accommodation. Very friendly staff, always feel welcomed at reception. 24/7 security and have had no issues with parcels. Great communal areas with a pool table and TV/cinema, and I have used the study pods lots of times. Will be rebooking for next year!

Been living here for 2 years now! Feels safe and it is super close to everything right in the town centre! The people from the reception are polite and nice. The living space downstairs is very comfy and warm and has got a lovely study space, pool table, TVs, Gym and a cinema room. Overall would recommend any students to get a en suite or a studio here.
